Important Notice for All Patients
24 hours advance notice is required if you are unable to keep your scheduled appointment time.
Appointment Policy
It is the policy of Thompson Chiropractic Clinic to require 24 hour advance notice for all rescheduled or canceled chiropractic and massage appointments. This allows our physicians and therapists maximum availability for their patients. To cancel or reschedule appointments, please call or text (763) 972-3447. If you do not reach the receptionist upon calling, you may leave a detailed message on our voicemail and/or follow up with a text message. If you would like to reschedule your appointment, please note your availability. We will return your message(s) and offer the next open appointment times that suit your availability. To ensure availability is managed appropriately, it is necessary for us to have this policy for missed, canceled, or rescheduled appointments with less than 24 hours notice. **Please note the missed/canceled appointment policy fee for massage clients differs from chiropractic patients.**
First Occurrence
A notification and reminder of our clinic policy will be sent to the patient regarding the missed, canceled, or rescheduled appointment that contradicts the minimum 24 hour requirement.
Second Occurrence
A reminder of our clinic policy will be sent to the patient regarding the missed, canceled, or rescheduled appointment that contradicts the minimum 24 hour requirement. A fee of $40.00 will also be applied to the patient’s account along with a balance notification. This charge is not covered by insurance and is the patient’s responsibility. The fee must be paid prior to future office visits. New patients who miss a second scheduled appointment will not be permitted to schedule future appointments or be accepted into the practice by another physician.
Third Occurrence
A reminder of our clinic policy will be sent to the patient regarding the missed, canceled, or rescheduled appointment that contradicts the minimum 24 hour requirement. A fee of $50.00 will also be applied to the patient’s account along with a balance notification. This charge is not covered by insurance and is the patient’s responsibility. The fee must be paid prior to future office visits. We reserve the right to not allow the patient to reschedule during high demand appointment hours if the patient has a history of missing scheduled appointments.
Massage Policy
24 hours advance notice for rescheduled or canceled massage appointments is required, as noted above. Additionally, if a massage appointment is missed, canceled, or rescheduled in a timeframe that contradicts the minimum 24 hour requirement, you will be charged the **full cost** of your scheduled service.
For patients utilizing VA Community Care authorizations for massage: If a session is missed or canceled/rescheduled with less than 24 hours notice, you will not be charged for the first occurrence. However, if there is more than one occurrence, the authorization will be sent back to the VA and further scheduling will not be permitted.
Appeal Policy
You have the right to appeal the missed appointment fee. Appeal requests will be reviewed by the patient’s physician and Clinic President. An appeal decision will be sent in writing to the patient.
